What Is an AI Call Center?
An AI call center is a phone setup where an AI voice agent handles the conversation instead of a menu tree or a hold queue. It listens, works out why the person is calling, answers from your own services, hours and policies, takes the action the caller needs, and hands the call to a person when the situation needs judgement. The part that matters is not the voice. It is what happens after the call: a lead created in your CRM, an appointment written into your calendar, a task raised for the right person, all on top of the phone system you already run.
Every call gets answered
Calls are picked up after hours, during the rush and while the team is already on another line, instead of going to voicemail.
Faster response to new leads
An inbound enquiry can be qualified in the first minute rather than waiting in a callback list until someone is free.
Appointments booked, not promised
The agent can be configured to check availability and write the booking into your calendar or booking tool during the call.
CRM records that stay current
Call outcomes, contact details and summaries can be pushed into your CRM so the next person to speak to the caller has the context.
What it actually does on a call
It answers in a natural voice, handles being interrupted without talking over the caller, and works from your services, hours and pricing rather than a generic script. Where it can act, it acts: booking into your calendar, taking a callback, capturing the details you need before you ring back.
Where it cannot, it transfers to a person and passes the whole conversation across, so nobody has to start again.
- Books directly into Google Calendar, Cal.com or your existing booking tool
- Warm transfer to a person with the full conversation attached, not a cold handoff
Hear How Your AI Call Center Can Sound
Pick the line closest to your business and call it. The agent answers as that kind of business would, so you hear how it greets, what it asks and where it hands over, rather than reading about it. Every line is a build we can adapt to your own services, prices and awkward questions.
These are demo lines, not a switchboard. They run the same setup we would build for you, on our numbers rather than yours. Standard call charges from your provider apply. If you would rather hear it on your own scenario, book a call and we will run it live with you.
Choose the Voice That Fits Your Business
An AI voice agent is not one fixed voice. Tone, pace, formality and language are configuration, and they change how callers react. A dental practice and an industrial supplier should not sound the same. We choose the voice with you, then test it on your real scripts before anything goes live.
Professional female voice
Measured, clear and neutral. A common default for clinics, professional services and any business where callers expect calm competence.
Professional male voice
Slightly lower pace and warmth. Often chosen for trades, automotive, logistics and B2B lines where callers want a straight answer.
Friendly customer service voice
Warmer and more conversational, with softer phrasing for apologies and waiting. Suits support lines and hospitality.
Sales representative voice
More energy and forward momentum, built for qualification and outbound follow-up without sounding like a recorded advert.
Receptionist voice
Short, polite and efficient. Designed for high volume front desk work: greet, identify, book or route, end the call.
Technical support voice
Slower delivery, careful with numbers, model names and reference codes, and comfortable repeating a step back to the caller.
Languages
We build multilingual agents where the speech and language providers support the language properly. English and Turkish are the two we work with most. Spanish, German and French are available through the same providers and we test them on your own terminology before launch. Availability, accent quality and cost differ by language and by provider, so we confirm what is realistic for your business at the demo stage rather than promising every language up front.

- Turkish
- Spanish
- German

What Can an AI Call Center Do?
More than answer the phone. An AI voice agent can be configured to take the action the call was about, then write the result back into the systems your team already works in.
Answering and routing
Cover the calls that currently ring out, and get the rest to the right person quickly.
- Answer inbound calls
- Identify caller intent
- Route calls to the right team
- Transfer to human agents
- Handle after-hours calls
- Handle overflow calls
Booking and scheduling
Turn a phone conversation into a confirmed slot in the diary rather than a note to call back.
- Check availability
- Book appointments
- Reschedule appointments
- Cancel appointments
- Confirm appointments
Leads and outbound calling
Reach people while the enquiry is still warm, and pick up the calls nobody answered.
- Make outbound calls
- Qualify leads
- Capture customer information
- Follow up with leads
- Recover missed calls
Answers and knowledge
Reply from your own business information instead of a generic script.
- Answer frequently asked questions
- Check hours, services and pricing
- Use business specific knowledge
- Support multiple languages
CRM and workflow actions
The part most AI receptionists skip. The call should change something in your systems.
- Send call outcomes to your CRM
- Create CRM leads
- Update CRM records
- Create tasks for your team
- Trigger downstream workflows
Records and oversight
Know what was said, what was promised and where the agent should have stepped back.
- Provide call summaries
- Transcribe conversations
- Detect escalation conditions
- Flag calls for human review
A note on scope. Everything above is something an agent can be configured to do, not a feature list that arrives switched on. What goes into your build depends on your telephony, the systems we can reach through an API, and which of these are actually worth automating for your call mix. We scope that with you before quoting.
AI Call Center Solutions for Different Businesses
The technology is the same. The call flow is not. What the agent asks, what it is allowed to decide and what it must hand to a person changes completely between a dental practice and a logistics operator. These are starting points we adapt to how your business actually answers the phone.
Dental Clinics
The agent identifies why the patient is calling, checks the diary, books check ups and hygienist slots, and pushes pain, swelling and trauma calls straight to staff.
Medical Clinics
Routine bookings, preparation instructions, directions and repeat prescription queries handled from your own protocols. Anything clinical goes to a person, and the agent gives no medical advice.
Hotels
Availability and rates for specific dates, reservation changes, cancellation policy and late arrival questions, with special requests and complaints passed to reception.
Restaurants
Opening hours, table reservations by party size, allergen and menu questions answered from your own menu, and takeaway orders where your ordering system supports it.
Real Estate Agencies
Qualifies buyers and sellers on budget, area and requirements, captures the lead, and books viewings and valuations into the right agent diary.
Law Firms
Captures the initial enquiry, identifies the matter type and any deadline, records the details a fee earner needs, and routes qualified callers to the right team. No legal advice.
Automotive Dealers
Service and MOT bookings, parts availability questions, test drive requests, with vehicle registration and mileage captured before routing to sales or aftersales.
Home Services
Identifies the job, collects address and access details, separates a genuine emergency from a standard visit, and schedules the engineer callback.
E-commerce Businesses
Order status, delivery windows and returns questions answered from your store data, missing parcel cases raised, payment disputes escalated to a person.
Insurance Companies
Captures first notice of loss details and policy numbers, answers renewal and cover scope questions from your documents, and routes claims to the right handler.
Financial Services
Books adviser appointments, explains document checklists and service processes, and routes callers to the right team. No advice and no account changes by the agent.
Travel Agencies
Captures enquiries with dates, destination, party size and budget, answers questions on existing bookings, and passes changes and disruption calls to a consultant.
Property Management
Takes maintenance reports with property, access and urgency details, answers rent and tenancy date questions, and pushes emergencies to the on call contractor.
Logistics & Transportation
Shipment status, collection bookings and delivery window changes, with driver instructions captured and exceptions escalated to operations.
Recruitment Agencies
Screens candidates on role interest, availability and location, books interview slots, and routes client calls to the consultant who owns the account.
SaaS Companies
Qualifies inbound demo requests on seats, timeline and use case, books the call into the sales calendar, and sends existing customers to support instead of sales.
IT Support Companies
Takes the ticket details, runs your standard triage questions, checks contract type, raises the ticket and escalates suspected outages immediately.
Education & Training
Course availability, start dates, fees and enrolment steps, with advisory calls and campus visits booked and current students routed to administration.
Beauty & Wellness
Books by service, stylist and duration, applies your patch test and cancellation rules, and offers waiting list slots when the diary is full.
Local Service Businesses
Answers hours, location, coverage area and pricing questions, captures the job details and books the callback so the enquiry does not go to the next company on the list.
Not on the list? The pattern rarely changes: identify the caller, understand the request, answer what is known, act where the agent is allowed to act, and hand over the rest with the context attached. Tell us how your calls arrive today and we will map it.
AI Voice Agents for Inbound and Outbound Calls
Most businesses start with inbound, because missed calls are the loss you can measure fastest. Outbound is where the same agent earns its keep a second time, calling back the leads and appointments your team never gets round to.
Inbound AI call center
Calls coming to you, answered every time, including the ones outside office hours.
- Front desk work: greet, identify, answer or route
- Support lines where the same questions repeat all day
- Booking and rescheduling while the caller is still on the phone
- Evenings, weekends and public holidays
- Queue overflow instead of hold music
Outbound AI calling
Calls you should be making, placed consistently instead of when someone finds the time.
- Calling web enquiries back within minutes, not days
- Qualifying leads before a rep spends time on them
- Appointment confirmations and reminders
- Renewal, expiry and payment due notices
- Reactivating customers who have gone quiet
- Short satisfaction surveys after a job or visit
Before you run an outbound campaign
Automated outbound calling is regulated, and the rules differ by country and by the type of call. Consent, calling hours, do not call registers, caller identification and disclosure that the caller is speaking to an automated system are all live requirements in many jurisdictions, including the United States, the United Kingdom, the EU and Turkey. We will build the campaign to the rules that apply to you, but the legal obligation to have a lawful basis for calling sits with your business. We will say so plainly if a campaign you describe looks like it needs legal review first.
AI Voice Agents That Work With Your CRM
Your AI call center should not become another isolated system with its own inbox that nobody checks. The call is only useful once it has changed something in the software your team already uses. That is the part we build: the connection between the conversation and your CRM, through documented APIs and webhooks rather than copy and paste.
What happens on a call, end to end
- Caller dials your existing business number
- AI voice agent answers and greets in your own wording
- Agent identifies the caller and looks them up in the CRM
- Agent understands and qualifies the request
- CRM record is created or updated with what was said
- Follow up is triggered: appointment, task, or callback
- Human agent takes over when the rules say it should
What the agent can write back
CRM lead creation
A new caller becomes a lead record with source, intent and contact details, not a note on a pad.
Contact lookup
Known callers are matched on number or reference before the agent starts asking questions.
Call logging
Every call is logged against the contact with time, duration, outcome and direction.
Call summaries
A short written summary of what the caller wanted and what was agreed, attached to the record.
Customer history
The agent can be given read access to past orders, tickets or appointments to answer in context.
Lead qualification
Budget, timeline, location or seat count captured as structured fields, not buried in a transcript.
Appointment creation
Slots checked and written into the connected calendar or booking system during the call.
Task creation
A task assigned to the right owner when the call needs a human action afterwards.
Pipeline updates
Deal stage moved on when the call outcome justifies it, with the reason recorded.
Follow up automation
Trigger a sequence, a reminder or a second call attempt based on how the call ended.
Custom API integration
Where a platform has a documented API, we build directly against it. See API integration.
Webhook integration
Events pushed to your endpoint in real time, with retries and idempotency so nothing is written twice.
Platforms we integrate with
CRM platforms
HubSpot, Salesforce, Zoho CRM, Microsoft Dynamics, Pipedrive and GoHighLevel, built against their public APIs.
Helpdesk platforms
Freshdesk and Zendesk, so a support call becomes a ticket with the transcript and summary attached.
Custom or in house CRM
If your system has an API, a database we can reach safely, or can accept webhooks, it can be connected.
How to read that list
These are custom API integrations that we build and maintain, not certified marketplace apps, and we are not a partner or reseller of any of these vendors. Zoho work is described on our Zoho integration page. If a platform you use has no usable API, or an off the shelf connector already does the job cheaper than we could build it, we will tell you that before you spend anything.
FreePBX, Asterisk and SIP Integration
You do not have to replace your phone system to put an AI voice agent in front of it. In most cases the agent sits alongside what you already run, takes the calls you choose to send it, and hands the rest back into your existing queues and extensions. Your numbers stay where they are.
Where the AI agent sits in your call path
- Your existing business number, ported or kept with your current carrier
- SIP or VoIP trunk carrying the call
- FreePBX or Asterisk handling routing, queues and extensions
- AI voice agent answers the calls your dial plan sends it
- CRM and business software updated from the conversation
- Human agent picks up on transfer, with the context attached
What we connect
FreePBX integration
The agent added as a destination in your dial plan, with our FreePBX integration work covering the configuration.
Asterisk integration
Control through AMI and ARI where deeper call handling is needed than a dial plan destination allows.
SIP integration
The agent registered as a SIP endpoint or reached over a direct SIP connection, depending on your setup.
SIP trunking
Carrier trunks provisioned and tested, including failover. See SIP trunking.
VoIP systems
Cloud or on premise VoIP platforms connected through standard protocols rather than a proprietary bridge.
Existing PBX systems
If your PBX can route a call over SIP, it can usually route a call to the agent.
Call queues
Send overflow from a queue to the agent instead of leaving callers on hold indefinitely.
Extensions
The agent reachable on its own extension, and able to dial your extensions on transfer.
IVR
Replace a menu tree entirely, or keep the IVR and put the agent behind one option while you test.
Call routing
Time based, number based and intent based routing rules that decide what the agent handles.
Call forwarding
Forward on busy, on no answer, or out of hours, so nothing needs to change during the working day.
Human agent transfer
Blind or warm transfer to a person or a queue, with the conversation summary passed across.
The telephony side is the part most AI voice vendors leave to you. It is the part we do already: read more about our VoIP development work, or start from your current setup and we will tell you what is realistic.
Connect Your AI Call Center to the Software You Already Use
Answering the call is the easy half. The value is in what the call sets off afterwards. An agent that books, updates, assigns and confirms removes work from your team. An agent that only talks just moves the work to whoever reads the transcript.
CRM
Leads, contacts, deals, call logs and pipeline stages kept current from the conversation itself.
Calendar
Google Calendar, Outlook and Cal.com style tools checked for real availability before a slot is offered.
Helpdesk
Tickets raised with the caller, the issue and the transcript, routed to the right queue.
E-commerce
Order lookups, delivery status and returns handled against your store data.
ERP
Stock, account and order information read where the system exposes it safely.
Booking systems
Practice, salon, clinic and field service diaries written to directly rather than by email.
Marketing automation
Call outcomes used to start, stop or branch a sequence, so the follow up matches what was said.
Communication platforms
Summaries and alerts posted to email, SMS or your team chat when a call needs attention.
Custom APIs
Anything with a documented API can be wired in. This is our normal work, not an exception.
Webhooks
Real time events out to your systems, with retries, idempotency keys and a dead letter queue when a target is down.
Every one of those connections is integration work, and which ones are worth building depends on what your systems expose. Where a platform has no usable API we say so instead of building a fragile workaround. See API integration.

AI Handles the Routine. Your Team Handles the Important.
The goal is not to push every conversation through an AI agent. It is to stop your team spending its day on the same eight questions, so it has room for the calls where a person genuinely changes the outcome.
What the AI agent takes
High volume, repeatable, rule based calls where a correct answer matters more than a relationship.
- Questions that have one correct answer
- Actions your written rules already cover
- Work that must happen at 2am as reliably as at 2pm
- Volume that would otherwise sit in a queue
What stays with your people
Calls where judgement, authority or trust is the point of the conversation.
- Anyone who is already unhappy
- Money: discounts, disputes, commercial exceptions
- Anything that falls outside your standard process
- Decisions that need authority, not a lookup
The handoff is the part that has to work
When the agent hits a configured escalation point, whether that is an angry caller, a request outside its rules, a repeated misunderstanding or a direct ask for a human, it transfers the call and passes the conversation context across. The person picking up sees who is calling, what has been said and what has already been agreed. The caller does not start again from the beginning. Escalation rules are yours to set, and you can start deliberately cautious and widen them once you have listened to real calls.
Where AI answering is the wrong answer
Under roughly two hundred calls a month, a human answering service usually costs less than building and running an agent. We will show you that arithmetic rather than sell around it.
It is also a poor fit for complaints, negotiation, and anything where the caller is already angry, so we route those straight to a person. The agent earns its place on repeat questions, after-hours capture and overflow, not on everything.
- Routing rules that send complaints and edge cases straight to a human
- An honest cost comparison against an answering service before you commit
Turn Missed Calls Into Opportunities
A missed call is rarely a lost message. It is usually somebody who rang the next company on the list. When your team cannot pick up, an AI voice workflow can be configured to answer instead, capture who called and why, or ring them back before the enquiry goes cold.
Missed lead calls
New enquiries that ring out get answered or called straight back, with the details captured while the caller still remembers the question.
After hours enquiries
Calls that arrive in the evening or at the weekend are answered, qualified and queued so your team starts the day with real leads rather than voicemail.
Busy periods
During the rush the agent takes the second and third caller instead of leaving them on hold or dropping them into an unattended mailbox.
Overflow calls
Queue overflow can be routed to the agent, which answers what it can and books a callback for the rest.
Website leads
A form submission can trigger an outbound call within minutes, while the person is still on your site, rather than an email nobody opens.
Callback requests
Requested callbacks are attempted on a schedule you set, with retries and a record of every attempt against the contact.
We do not put a recovery percentage on this page, because we would be making it up. What we can do is look at your call logs with you, count the calls that currently go unanswered, and show what a recovery workflow would have to catch to pay for itself.
How an AI Call Center Works
Five stages, in this order. Most of the work sits in the first three, because an agent is only as good as the business information and the systems behind it.
Understand your business
Your services, hours, pricing rules, common questions, the calls you never want automated and what a good outcome sounds like.
Connect your phone system
SIP, VoIP, FreePBX, Asterisk or your existing PBX, with the dial plan deciding which calls reach the agent and which do not.
Connect your business software
CRM, calendar, helpdesk, ERP or a custom API, so the call can create and update real records.
Configure the agent
Voice, tone, knowledge, call flows, what it may decide, escalation triggers and the wording it uses to transfer.
Test, launch and improve
Run real scenarios first, start on a subset of calls, then review recordings and summaries and tighten the flow.
AI Call Center Cost Calculator
How much could an AI call center cost your business, and what would it displace? Put your own numbers in. The model is deliberately simple and every assumption is visible, so you can argue with it.
Your call volume
What that suggests
This is an arithmetic model, not a quote, and it excludes the one off build. Actual pricing depends on telephony, AI model, voice provider, call volume, integrations and deployment requirements. The per minute figure above is your assumption to change: at quote stage we itemise telephony at published Twilio or Telnyx rates and keep the platform cost and our fee separate.
What it costs to run, before you commit
The running cost of a voice agent is not one number. It is telephony per minute, speech and model usage per minute, and a monthly charge per concurrent line. Vendors quote whichever of those flatters them.
We build on Twilio or Telnyx and show you the itemised pass-through at their published rates, so you can see what the agent costs per call before you decide whether it is worth having. Our build fee is quoted separately, so the two are never tangled together.
- Itemised pass-through costs at Twilio or Telnyx published rates
- Build fee quoted separately, so platform cost and our fee stay visible
More Than an AI Voice Bot
Most AI receptionist vendors sell you a hosted agent and leave the hard part, connecting it to your phone system and your software, as your problem. We come at it from the other direction. We are an integration and development company that also builds voice agents, and the telephony and API work is what we did before AI voice existed.
VoIP expertise
Carriers, trunks, codecs, NAT, call quality and the unglamorous debugging that decides whether a deployment survives contact with real calls.
FreePBX and Asterisk integration
Dial plans, queues, extensions, IVR and time conditions, changed carefully on systems that are already handling live business calls.
SIP and telephony development
SIP registration, trunking, routing and failover, built and tested rather than assumed to work.
CRM integration
Lead creation, contact matching, call logging and pipeline updates against real CRM APIs, with the edge cases handled.
API development
Authentication, rate limits, retries, idempotency and monitoring. The reason an integration keeps working in month six.
Custom business workflows
What should happen after the call, in your business, with your rules, rather than a generic template.
WordPress and web integration
Forms, booking flows and site events wired into the same workflow so phone and web enquiries land in one place.
Custom software integration
In house systems, older platforms and anything without a marketplace connector, reached through APIs, webhooks or a safe data path.
AI voice implementation
Voice selection, call flow design, knowledge, escalation rules and the testing that happens before you point real callers at it.
The short version
We connect AI voice technology to the systems your business already depends on. If an off the shelf AI receptionist would serve you better and cheaper than a build, we will say so, and we would rather lose the project than sell you an integration you did not need.
Built for Real Business Systems
The technical detail, in plain language. You do not need to read this to buy, but if you are the person who will have to live with the integration, this is the part you care about.
How does the integration work?
How does a call actually reach the AI agent?
A caller dials your number. Your carrier delivers that call over a VoIP connection to your phone system. Your dial plan then decides what happens next: ring the sales queue, ring an extension, or send the call to the AI voice agent. The agent is just another destination in that plan, which is why you can start with one number, one option in the menu or only out of hours, and widen it once you have heard how it performs on real calls.
What is SIP, and why does it matter here?
SIP is the signalling protocol that sets up, changes and ends a voice call over an IP network. It is the reason a phone system from one vendor can talk to a carrier or a voice agent from another. Because the AI agent speaks SIP, it can register to your PBX like an extension, or sit behind a direct SIP connection, without a proprietary bridge in the middle. Standard protocols also mean you are not locked in: the agent can be swapped without rebuilding your telephony.
What do FreePBX and Asterisk do in this setup?
Asterisk is the open source engine that handles calls. FreePBX is the web interface that most businesses use to configure it: extensions, queues, IVR menus, time conditions and routing rules. In an AI deployment they stay in charge of the call path. We add the agent as a destination and write the rules that decide which calls it receives. For anything a dial plan cannot express, we use the Asterisk AMI and ARI interfaces to control calls programmatically.
What is SIP trunking?
A SIP trunk is the connection between your phone system and a carrier that carries your calls and your numbers. It replaces traditional phone lines with a single IP connection sized by concurrent calls rather than physical lines. It matters for AI voice because concurrency is what you pay for and what limits how many simultaneous conversations the agent can hold. We provision, test and add failover on the trunk, and we size it against your busiest hour rather than your average.
How does the agent talk to a CRM or calendar?
Through the platform REST API. The agent asks for what it needs, a contact match on the caller number, the next free appointment slot, the status of an order, and writes back what happened: a new lead, a logged call, a summary, a task. Every platform models this differently, so the work is in the mapping and the permissions, not in the idea. Where a platform has no API, we say so early rather than building something fragile around a screen.
What are webhooks, and why use them?
An API call is us asking your system a question. A webhook is your system telling us something happened, in real time, without waiting to be asked. Call ended, appointment moved, order shipped. We use both. Outbound webhooks are built with retries, idempotency keys so a repeated delivery cannot create the same record twice, and a dead letter queue that holds failed events until the target system is back rather than dropping them silently.
How do call routing, IVR and queues work with an agent?
They keep doing their job. The agent can replace an IVR menu entirely, which is usually the point, or sit behind one option while you evaluate it. Queue overflow can be routed to the agent so callers are not left on hold. Time conditions can send only out of hours calls to it. And the agent can route in the other direction, transferring into a queue or to a named extension when the conversation needs a person.
Can it connect to our own web application?
Yes, if it exposes an API, accepts webhooks, or we can build a small service alongside it. Custom and older in house systems are normal work for us rather than an exception. We look at what the system can safely expose, agree the smallest surface that does the job, and build against that. If the honest answer is that a system cannot be integrated without unacceptable risk, that is the answer you will get, before any commitment.
What happens when something breaks?
Integrations fail: an API goes down, a token expires, a carrier has a bad hour. The design assumption is that this will happen. Failed writes are retried with backoff, events that cannot be delivered are held rather than lost, and calls fall back to a human path or voicemail rather than dropping. Logging and monitoring are part of the build, so the first person to notice a problem is us and not your customer.
Built With Business Data in Mind
A voice agent sits on top of your customer data, so the design decisions about what it can see, what it stores and who can reach it are part of the build rather than an afterthought.
Access control
Credentials scoped per integration, held in server side configuration rather than embedded in a front end, and revocable without a rebuild.
Secure API connections
Encrypted transport, token based authentication, and keys rotated on a schedule you decide instead of shared informally.
Data minimisation
The agent is given the narrowest set of fields it needs to do its job. Systems it does not need to read are not connected to it.
Call recording controls
Recording is configurable and can be off, on, or restricted by call type, with the announcement wording set to match the rules where you operate.
Transcript controls
Where transcripts are stored, how long they are kept and who can open them are decisions you make, and they can be shortened or turned off.
CRM permissions
The integration uses its own user or application credentials with limited rights, so an incident does not become full CRM access.
Human escalation
Sensitive topics can be configured to stop the agent and route to a person rather than being handled or recorded automatically.
Logging and audit trail
Call events, integration writes and failures are logged so you can reconstruct what happened on a specific call.
Integration specific security
Each connected platform has its own permission model, and we configure against that rather than requesting broad administrator access by default.
What we do not claim
We do not publish compliance certifications on this page. If your procurement process requires a specific standard, ask us directly and we will tell you plainly what we can and cannot evidence rather than putting a badge on a web page. Data handling, call recording, consent announcements and retention requirements depend on your deployment, your industry and the regulations that apply where your callers are. We build to the requirements you give us, and we will flag it when something you have asked for looks like it needs a legal opinion first.
AI Call Center vs Traditional Call Handling
This is not a table where one column wins. Read the last two rows before the first two: they are the reason we design for handover rather than replacement.
| Capability | AI voice agent | Human team |
|---|---|---|
| 24/7 availability | Always on, and it behaves the same at 3am as at 3pm. | Limited by shifts, and night cover is expensive. |
| Call overflow | Takes the second, fifth and twentieth caller at the same time. | Callers queue, hold, or hang up and try a competitor. |
| After hours calls | Answered, qualified and logged overnight. | Usually voicemail or a paid answering service. |
| Lead capture | The same structured fields captured on every single call. | Excellent when someone has time, patchy when the phone is busy. |
| Appointment booking | Books directly where the calendar or diary is connected. | Reliable, and better at negotiating around an awkward diary. |
| CRM updates | Written automatically at the end of the call. | Done well when there is time, skipped when there is not. |
| Call summaries | Every call, in the same format, searchable afterwards. | Notes vary by person, and by how the day is going. |
| Call routing | Routes on what the caller said rather than which key they pressed. | Routes with judgement, and can spot what the caller really meant. |
| Human escalation | Transfers on configured triggers, with the context attached. | Already human. |
| Outbound follow up | Consistent volume, no fatigue, calls back every lead on the list. | Far better at persuasion and at reading a hesitant buyer. |
| Scalability | Concurrency is limited by your trunk and your budget, not headcount. | Scaling means recruiting, training and managing. |
| Integration with business software | Part of the workflow by design when it is built that way. | Manual entry into the same systems, between calls. |
| Complaints and unhappy callers | Should be detected and escalated, not handled. | This is exactly where a person earns their salary. |
| Exceptions and judgement calls | Only acts within the rules you configured for it. | Can weigh a situation and decide. |
Scroll the table sideways on a small screen.
Automation is strongest where calls are repetitive, high volume, out of hours, or already being missed. People stay stronger wherever the conversation involves emotion, money, a decision outside the script, or a customer you cannot afford to annoy. A sensible deployment gives the agent the first category and protects your team’s time for the second.
Who Benefits From an AI Call Center?
Not everyone. The economics only work above a certain call volume, and we would rather tell you that early. These are the situations where it usually pays.
Small businesses
One or two people answering the phone between doing the actual job, where every ring is an interruption and some are never answered.
Growing businesses
Call volume rising faster than headcount, and the choice is between hiring early or losing enquiries.
Call centers
Existing operations that want the repeat questions off the queue so agents spend their time on calls that need them.
Sales teams
Teams where speed of response decides who wins the deal, and inbound leads currently wait for someone to be free.
Customer support teams
Support lines drowning in status and how do I questions that are already answered in the knowledge base.
High call volume businesses
Predictable peaks where the fifth caller of the minute currently gets hold music.
Businesses missing calls

AI Call Center FAQ
The questions we are actually asked, answered without marketing hedging.
What is an AI call center?
An AI call center is a phone operation where an AI voice agent handles conversations that would otherwise need a person or a menu system. It answers inbound calls, works out what the caller needs, replies from your own business information, takes an action such as booking an appointment or creating a lead, and transfers to a human when the situation requires it. The useful difference from a chatbot with a voice is the integration: the call updates your CRM, calendar and workflows rather than ending in a transcript nobody reads.
How does an AI voice agent answer phone calls?
The call arrives on your number and your phone system routes it to the agent as a destination in the dial plan. The agent converts speech to text, works out the caller intent, decides a response using your configured knowledge and rules, and speaks back in a synthesised voice. It handles interruptions rather than talking over the caller. Where it is allowed to act, it calls your connected systems during the conversation. Where it is not, it transfers to a person and passes the context across.
Can an AI call center work with FreePBX?
Yes. FreePBX is one of the most straightforward setups to add a voice agent to, because the routing you already have is the routing that decides which calls reach the agent. In practice we add the agent as a destination, then use inbound routes, time conditions and queue overflow rules to control what it receives. You can start with out of hours only, or one menu option, and widen it later. Our FreePBX integration service covers the configuration and testing.
Can AI voice agents work with Asterisk?
Yes. Asterisk is the engine underneath FreePBX and can be used directly. For most deployments a dial plan destination is enough. Where you need finer control, such as monitoring live calls, injecting audio, moving a call between contexts or building custom queue behaviour, we use the Asterisk Manager Interface and the Asterisk REST Interface to control calls programmatically. That matters when the agent has to co-operate with existing call handling rather than replace it.
Can AI voice agents use SIP?
Yes, and this is normally how the connection is made. The agent can register as a SIP endpoint on your PBX, effectively behaving like an extension, or be reached over a direct SIP connection from your carrier or trunk. Using a standard protocol rather than a proprietary bridge means the agent fits alongside your existing infrastructure and can be replaced later without rebuilding your telephony. Concurrency, codecs and failover are set up as part of the work.
Can an AI voice agent connect to a CRM?
Yes, through the CRM public API. The agent can look up a caller by number before it starts asking questions, read recent history where you allow it, and write back a new lead, a logged call, a summary, a task or a pipeline change when the call ends. We build these against platforms such as HubSpot, Salesforce, Zoho CRM, Microsoft Dynamics, Pipedrive and GoHighLevel, as custom API integrations rather than certified marketplace apps. In house systems work too when they expose an API or accept webhooks.
Can an AI call center book appointments?
Yes, where the calendar or booking system is connected. The agent checks genuine availability during the call rather than promising a slot and leaving someone to sort it out later, applies your rules on duration, staff member, buffer time and notice periods, then writes the booking and sends a confirmation. It can also reschedule and cancel. If the diary tool has no API, we will say so before you commit, because a booking agent without a live calendar is not worth building.
Can an AI voice agent make outbound calls?
Yes. Outbound is often where the second half of the value sits: qualifying new enquiries, following up quotes, confirming appointments, reminding customers about renewals and calling back people whose calls were missed. Outbound is also more regulated than inbound. Consent, calling hours, do not call registers, caller identification and disclosure that the caller is speaking to an automated system all apply in most jurisdictions. We build campaigns to the rules that apply to you, and the lawful basis for calling remains your responsibility.
Can AI transfer calls to human agents?
Yes, and getting this right matters more than any other single feature. The agent transfers when it hits a trigger you have configured: an explicit request for a person, a detected complaint, low confidence that it understood, or a topic you have marked as off limits. Transfers can go to a specific extension, a queue or an on call number, warm or blind. The conversation summary goes with the call, so the person picking up does not start from nothing.
Can an AI voice agent handle multiple languages?
Yes, where the speech and language providers support the language to a standard worth putting in front of customers. English and Turkish are the two we work with most. Spanish, German and French are available through the same providers. Quality varies by language, by accent and by how much industry specific vocabulary the agent has to recognise, so we test on your own terminology before launch rather than assuming it works. Cost also differs by language and provider.
Can AI call centers work after business hours?
Yes, and this is the most common starting point. Time conditions in your phone system send calls to the agent outside working hours, at weekends or on holidays, while daytime calls continue to reach your team exactly as they do today. Out of hours callers get a real conversation instead of voicemail, and your team starts the day with qualified enquiries, booked appointments and a summary of what happened overnight.
Can AI handle missed calls?
Yes, in two ways. It can answer calls that would otherwise ring out, including queue overflow and calls during busy periods, so they are never missed in the first place. It can also be configured to call back numbers that hung up or went to voicemail, capture what the caller needed, and either book them in or create a task for your team. Every attempt is logged against the contact so nobody is called twice by accident.
Can AI update CRM records automatically?
Yes. Depending on what the CRM API allows and what permissions you grant, the agent can create a contact or lead, attach a call log with duration and outcome, add a written summary, update qualification fields such as budget, location or timeline, move a deal stage and create a follow up task. Writes are built with retries and idempotency keys so a network failure does not create duplicate records, and failed writes are held rather than lost.
Can AI call agents work with our existing phone numbers?
Yes. In most cases you keep your numbers exactly where they are and change only what happens after the call arrives. There is no requirement to port numbers to a new provider or to hand your main line to a third party platform. If porting does turn out to be the cheaper or more reliable option in your situation, we will explain the trade off rather than quietly moving your telephony.
How much does an AI call center cost?
The running cost is not a single figure. It is telephony per minute, speech and model usage per minute, and usually a monthly charge per concurrent line, plus the one off build. Vendors tend to quote whichever component flatters them. We itemise telephony at published Twilio or Telnyx rates, keep platform costs and our fee visible separately, and quote the build after scoping. The calculator on this page gives you an arithmetic estimate, not a price.
Is an AI call center cheaper than hiring receptionists?
Sometimes, and not always. Below roughly two hundred calls a month a human answering service usually costs less than building and running an agent, and we will show you that arithmetic instead of selling around it. Above that, the comparison shifts, particularly where calls are repetitive, arrive out of hours, or are currently missed. The honest comparison also includes the build cost and the ongoing tuning, not just the per minute rate.
Can you integrate AI with our existing software?
Usually yes. If the system has a documented API, accepts webhooks, or can be reached safely another way, it can be connected. Custom, in house and older systems are normal work for us rather than an exception, and API integration is a service we provide independently of AI voice. Where a platform genuinely cannot be integrated without unacceptable risk or fragility, we will tell you that before you commit to anything.
How long does an AI call center integration take?
It depends almost entirely on the integrations, not on the voice agent. A single inbound agent on an existing FreePBX system with one calendar connection is a matter of weeks. Multiple CRM and business system integrations, complex routing, several languages or a regulated environment take longer. We give a timeline after scoping your telephony and your systems, because a number quoted before that would be a guess dressed up as a commitment.
Can Seninweb build a custom AI voice agent?
Yes, that is the work we do. We build the agent, the call flows, the escalation rules and the integrations into your phone system and business software, rather than reselling a hosted receptionist. We also do the unglamorous part: testing on real scenarios, monitoring, retries and the failure handling that decides whether it still works in month six. If an off the shelf tool would serve you better, we will say so.
