AI Voice Agent for Logistics and Transportation
Where is my shipment is the same call, hundreds of times a week, and it lands on people who should be solving exceptions instead. An AI voice agent answers status calls from your own tracking data, books collections, and escalates the genuine problems to operations.

What the AI Agent Handles for Logistics and Transport
Shipment status
Answers where a consignment is from your tracking system, not from a generic policy page.
Collection bookings
Takes the address, pallet or parcel count, weight and readiness time and books the collection.
Delivery window changes
Handles reschedules and access instructions within the rules you set.
Proof of delivery requests
Confirms delivery details and sends the documentation where your system allows it.
Exceptions to operations
Damage, loss and missed slots go to a person with the consignment already identified.
Out of hours
Answers overnight for drivers and customers when the office is closed.
What a Call Actually Sounds Like
These are written call flows, not recordings of somebody else’s business. We build and demo them on your own services, prices and awkward questions.
Status call
Caller: Where is consignment 88421?
AI agent: Let me check. Can I confirm the postcode it is going to?
Caller: LS10 2QP.
AI agent: Thank you. It is on a vehicle out for delivery today, with a window between two and six.
Caller: Nobody will be there after four.
AI agent: I can add a note for the driver and request the earlier part of the window.
In the background: the delivery note is added against the consignment and the request is passed to the transport desk.
Exception escalated
Caller: Two pallets arrived crushed.
AI agent: That needs a person and a claim, not a note from me. I am putting you through to operations with the consignment number and what you have told me.
In the background: a damage case is raised with the consignment reference and the call is transferred to operations.
What It Connects To
An agent that only talks moves the work to whoever reads the transcript. The value is in what the call changes in the systems you already run.
TMS and tracking
Consignment lookup and status answered live where your system exposes an API.
Collection scheduling
Collections booked against real vehicle and depot capacity.
Existing phone system
Added to your current depot numbers and queues through SIP or FreePBX.
Webhooks
Status events pushed out in real time with retries so nothing is silently dropped.
The telephony side is our own work rather than something we leave to you: see FreePBX integration, SIP trunking and API integration. Where a system you use has no usable API, or an off the shelf tool would do the job cheaper than a build, we will tell you that before you spend anything.
Calls Coming In, and Calls You Should Be Making
Inbound
The calls arriving now, including the ones that currently ring out.
- Shipment and consignment status
- Collection bookings
- Delivery window and access changes
- Proof of delivery requests
- Routing exceptions to operations
Outbound
The calls that get made when somebody finds the time, which is rarely.
- Delivery window confirmation calls
- Failed delivery follow ups
- Collection reminders
- Notifying customers of delays
- Returning missed and out of hours calls
On outbound. Automated calling is regulated, and the rules differ by country and by call type. Consent, calling hours, do not call registers and disclosure that the caller is speaking to an automated system all apply in most places. We build campaigns to the rules that apply to you, and the lawful basis for calling remains yours.
AI Voice Agents for Logistics and Transport: Common Questions
Can it actually see our tracking data?
Where your transport management system exposes an API, yes, and that is the version worth building. The agent identifies the consignment, usually by reference and postcode, and answers from live status. Without that connection it can only read out a policy, which does not reduce your call volume at all.
Will it book collections correctly?
It captures the address, pallet or parcel count, weight, readiness time and any access constraints, and books against real capacity where your system allows. Where capacity is complex, it captures everything and creates the task for the transport desk instead of promising a vehicle that is not free.
What happens with damaged or lost freight?
Straight to a person. Claims involve liability and judgement, so the agent identifies the consignment, records what the caller says, raises the case and transfers. It does not attempt to resolve or make any commitment about compensation.
Can drivers use it too?
Yes. A separate line or option can be routed to a flow built for drivers, capturing delays, access problems or PODs, which is often where out of hours calls actually come from.
Does it work across multiple depots?
Yes. Routing rules can send calls to the right depot queue based on the consignment, the number dialled or what the caller says, so a national number does not become a bottleneck.
