AI Voice Agent for Automotive Dealers
Service reception is the busiest phone in the building, and sales calls arrive while everyone is on the forecourt. An AI voice agent answers both, books service and MOT slots against the workshop diary, captures registration and mileage, and routes real buyers to a salesperson instead of a voicemail box.

What the AI Agent Handles for Automotive Dealers
Service and MOT bookings
Takes the registration, checks the workshop diary for the right job length and books the slot during the call.
Test drive requests
Captures the model, licence details you require and preferred times, then books with the sales team.
Parts enquiries
Takes the part, vehicle and registration and routes to parts, rather than guessing at availability.
Job status chasing
Answers the constant is my car ready calls from your workshop system where it is connected.
After hours and weekends
Answers when the showroom is shut, books what it can and hands the rest to the morning team.
Sales, service and parts routing
Separates the three at the first question so nobody sits in the wrong queue.
What a Call Actually Sounds Like
These are written call flows, not recordings of somebody else’s business. We build and demo them on your own services, prices and awkward questions.
Service booking
Caller: I need a service and my MOT is due.
AI agent: I can book both together. Can I take the registration?
Caller: LP19 XKZ.
AI agent: Thank you. That is due a full service. Combined it needs most of a day. I have Tuesday or Thursday next week.
Caller: Tuesday.
AI agent: Booked. Will you wait, or would you like a courtesy car noted on the job?
In the background: the job is created against the vehicle with service type and duration, and the courtesy car request is flagged.
Sales call routed properly
Caller: Is the blue Golf still available?
AI agent: I can check with sales. Are you looking to part exchange anything?
Caller: Yes, a 2018 Focus.
AI agent: That is useful for them to know. Putting you through now with the vehicle and your part exchange noted.
In the background: the enquiry is logged with the vehicle of interest and the part exchange, then transferred to sales.
What It Connects To
An agent that only talks moves the work to whoever reads the transcript. The value is in what the call changes in the systems you already run.
Workshop diary
Service slots checked and booked with the right job length where your DMS exposes an API.
Your CRM or DMS
Enquiries, vehicles of interest and call outcomes written to the system the team already uses.
Existing phone system
Added to your current numbers and departments through SIP, FreePBX or Asterisk.
Confirmations
Booking confirmations and collection ready messages triggered automatically.
The telephony side is our own work rather than something we leave to you: see FreePBX integration, SIP trunking and API integration. Where a system you use has no usable API, or an off the shelf tool would do the job cheaper than a build, we will tell you that before you spend anything.
Calls Coming In, and Calls You Should Be Making
Inbound
The calls arriving now, including the ones that currently ring out.
- Service and MOT bookings
- Parts availability enquiries
- Test drive and vehicle enquiries
- Job status and collection questions
- Routing between sales, service and parts
Outbound
The calls that get made when somebody finds the time, which is rarely.
- Service and MOT due reminders
- Confirming bookings the day before
- Following up unsold enquiries
- Collection ready calls
- Returning missed and out of hours calls
On outbound. Automated calling is regulated, and the rules differ by country and by call type. Consent, calling hours, do not call registers and disclosure that the caller is speaking to an automated system all apply in most places. We build campaigns to the rules that apply to you, and the lawful basis for calling remains yours.
AI Voice Agents for Automotive Dealers: Common Questions
Can it book into our workshop diary?
Where your dealer management system exposes an API, yes. The agent checks real capacity for the job type, allows the right amount of time for a service against an MOT, and writes the booking during the call. Where the system is closed, it still captures registration, mileage and the work needed, then creates the task for service reception rather than promising a slot that may not exist.
Will it quote for repairs?
Only what you publish, such as MOT price, fixed price servicing and hourly labour rates. It will not price a repair it has not seen, because that is how disputes start. For anything diagnostic it captures the symptoms and books the vehicle in.
Can it handle both sales and service calls?
Yes, and separating them is one of the first things it does. Service calls go down the booking path, sales calls are qualified on vehicle, part exchange and finance interest and then routed to a salesperson. That stops buyers waiting behind a queue of MOT bookings.
Do we keep our existing numbers?
Yes. In most cases nothing changes about how calls reach you, only what happens when nobody picks up or when you choose to send a line to the agent. You can start with out of hours or the service line alone.
Is it worth it for a single site?
It depends on how many calls you currently miss. If service reception regularly lets calls ring out during the morning rush, the arithmetic usually works. Below roughly two hundred calls a month an answering service is normally cheaper, and we will tell you that.
