AI Voice Agent for Dental Clinics
Most practices lose appointments at reception, not in the chair. Calls arrive while the nurse is chairside, during lunch, and after you close. An AI voice agent answers them, works out whether it is a check up, an emergency or an account question, books what it can into your diary and puts genuine emergencies through to a person.

What the AI Agent Handles on a Dental Clinic Call
New patient enquiries
Answers whether you are taking new patients, explains registration and the difference between your private and NHS lists, and captures what reception needs to open a record.
Check up and hygienist bookings
Checks the diary for the right appointment length and clinician, offers slots that genuinely exist and writes the booking in during the call.
Emergency triage
Asks your own triage questions on pain, swelling, bleeding and trauma, then transfers urgent callers to a person rather than booking them in three weeks.
Cancellations and short notice gaps
Takes the cancellation, releases the slot, and can work down your waiting list to fill it the same day.
Evenings and weekends
Answers while you are closed so Monday morning starts with booked appointments instead of a full voicemail box.
Fees and treatment questions
Answers the usual questions on fees, finance and what a first visit involves, from your own price list rather than a guess.
What a Call Actually Sounds Like
These are written call flows, not recordings of somebody else’s business. We build and demo them on your own services, prices and awkward questions.
New patient with a chipped tooth
Caller: Hi, do you take new patients? I chipped a tooth this morning.
AI agent: We do, and a chipped tooth is something we try to see quickly. Is it painful now, or mainly the edge that is sharp?
Caller: Mainly sharp, it keeps catching my tongue.
AI agent: Understood. I have an emergency slot at 2:40 today, or 9:15 tomorrow. Which suits you?
Caller: 2:40 today.
AI agent: Booked. Can I take your full name and a mobile number for the confirmation?
In the background: the appointment is written into the practice diary, a patient record is opened with the reason for the call, and a confirmation text goes out.
Out of hours pain call
Caller: I know you are closed, but I am in a lot of pain.
AI agent: I am sorry. Is the pain constant, and is there any swelling in your face or jaw?
Caller: Constant, and my cheek is swollen.
AI agent: That is one we do not leave until morning. I am putting you through to the emergency number now and passing on what you have told me.
In the background: the call is escalated to the on call number under your own triage rules, with the symptoms already written up.
What It Connects To
An agent that only talks moves the work to whoever reads the transcript. The value is in what the call changes in the systems you already run.
Your practice diary
Slots checked and written against the right clinician and appointment length, where your practice management software allows it.
Reminders and confirmations
Confirmation and reminder messages triggered from the booking, so fewer chairs sit empty.
Your existing phone system
The agent added to the numbers you already publish, through FreePBX, Asterisk or SIP.
Anything with an API
Where your software exposes an API we build against it. Where it does not, we say so before you commit.
The telephony side is our own work rather than something we leave to you: see FreePBX integration, SIP trunking and API integration. Where a system you use has no usable API, or an off the shelf tool would do the job cheaper than a build, we will tell you that before you spend anything.
Calls Coming In, and Calls You Should Be Making
Inbound
The calls arriving now, including the ones that currently ring out.
- New patient registrations
- Check up and hygienist bookings
- Rescheduling and cancellations
- Emergency triage and escalation
- Fee, finance and treatment questions
Outbound
The calls that get made when somebody finds the time, which is rarely.
- Filling short notice cancellations from the waiting list
- Appointment reminders and confirmations
- Recall calls when a check up is due
- Following up unbooked enquiries
- Calling back missed and after hours callers
On outbound. Automated calling is regulated, and the rules differ by country and by call type. Consent, calling hours, do not call registers and disclosure that the caller is speaking to an automated system all apply in most places. We build campaigns to the rules that apply to you, and the lawful basis for calling remains yours.
AI Voice Agent for Dental Clinics: Common Questions
Can an AI answer dental emergency calls safely?
It can triage, not diagnose. The agent asks the questions your practice already asks about pain, swelling, bleeding and trauma, and the answers decide what happens next. Anything that meets your escalation rules is transferred to a person or your emergency number with the symptoms already written up. The agent gives no clinical advice, and we build it to escalate when unsure rather than to guess.
Will it book into our practice management software?
Where your system has a usable API, yes: it checks real availability for the right clinician and appointment length, then writes the booking during the call. Where it does not, the agent captures everything reception needs and creates the task instead, so nothing is lost. We check what your software actually supports before quoting, rather than promising a two way sync that cannot be built.
Do we have to change our phone number?
No. In almost every case you keep your numbers and your provider, and we change only what happens after the call arrives. The agent becomes a destination in your existing setup, so you can start with out of hours only and widen it once you have listened to real calls.
What happens to nervous patients?
You decide. Many practices route anything that sounds like anxiety, complaints or a distressed caller straight to a person, and use the agent for routine booking and information. Those rules are yours to set and easy to change once you have heard how real calls go.
How much does it cost for a practice our size?
It depends on call volume, how many of those calls you want automated and what we connect to. Running cost is telephony per minute, speech and model usage per minute and a monthly charge per concurrent line, quoted separately from the build. Below roughly two hundred calls a month a human answering service is usually cheaper, and we will tell you that.
Want to Hear This on Your Own Calls?
Tell us how your calls arrive today and how many you are missing. We will map what an AI voice agent could answer, book and route for a business like yours, and say plainly if the numbers do not justify it.
