AI Voice Agent for Hotels
Reception cannot be on the desk and on the phone at the same time, and the phone usually loses. An AI voice agent answers every line, handles availability, rates, arrival questions and reservation changes, and passes anything that needs a human, a complaint, a special request, a VIP, straight to your team with the conversation attached.

What the AI Agent Handles on a Hotel Call
Availability and rates
Answers what is free on specific dates and what it costs, from your live rates rather than a printed sheet.
Reservations and changes
Takes bookings, moves dates and handles cancellations under your own policy and notice rules.
Arrival and departure questions
Check in and check out times, late arrival, early check in, luggage storage and parking, answered in your own wording.
Restaurant, spa and facilities
Answers what is open, when, and books tables or treatments where those systems are connected.
Guests calling from abroad
Handles common languages where the speech providers support them properly, tested on your property names first.
Special requests to a person
Anniversaries, accessibility needs, complaints and anything unusual go to reception rather than being improvised.
What a Call Actually Sounds Like
These are written call flows, not recordings of somebody else’s business. We build and demo them on your own services, prices and awkward questions.
Availability call at 11pm
Caller: Do you have a double room for Friday and Saturday?
AI agent: Let me check. For two nights from Friday I have a double at the standard rate, and a superior with a balcony. Breakfast is included on both.
Caller: The superior, please.
AI agent: I can hold that now. Can I take a name and a contact number, and I will send the confirmation?
In the background: the reservation is created or held in your booking system and the confirmation is sent automatically.
A request that goes to a person
Caller: We are arriving on our anniversary and my wife uses a wheelchair.
AI agent: Both of those matter and I would rather reception handled them properly than have me guess. I am putting you through now and passing on the dates and what you have told me.
In the background: the call is transferred with the context attached so the guest does not repeat themselves.
What It Connects To
An agent that only talks moves the work to whoever reads the transcript. The value is in what the call changes in the systems you already run.
Booking and property systems
Availability read and reservations written where your system exposes an API.
Your existing phone system
Added to your current lines and extensions through SIP, FreePBX or Asterisk.
Confirmations
Confirmation and pre arrival messages triggered from the booking itself.
Custom integrations
Older property systems are normal work for us. If one cannot be integrated safely, we say so early.
The telephony side is our own work rather than something we leave to you: see FreePBX integration, SIP trunking and API integration. Where a system you use has no usable API, or an off the shelf tool would do the job cheaper than a build, we will tell you that before you spend anything.
Calls Coming In, and Calls You Should Be Making
Inbound
The calls arriving now, including the ones that currently ring out.
- Availability and rate enquiries
- New reservations and modifications
- Check in, check out and late arrival questions
- Facilities, parking and directions
- Routing special requests to reception
Outbound
The calls that get made when somebody finds the time, which is rarely.
- Pre arrival confirmation calls
- Follow up on incomplete bookings
- Group and event enquiry callbacks
- Post stay feedback calls
- Returning missed and overnight calls
On outbound. Automated calling is regulated, and the rules differ by country and by call type. Consent, calling hours, do not call registers and disclosure that the caller is speaking to an automated system all apply in most places. We build campaigns to the rules that apply to you, and the lawful basis for calling remains yours.
AI Voice Agent for Hotels: Common Questions
Can it quote real room rates?
Where your booking or property system exposes rates and availability through an API, yes, and that is the only version worth building. Quoting from a static list goes wrong the first time a rate changes. If your system cannot be reached, the agent still captures the enquiry with dates and party size and hands it to reception rather than inventing a price.
What about guests who ring from other countries?
Multilingual agents work well where the speech and language providers support the language to a proper standard. We test on your property name, room types and local place names before launch, because those are exactly the words that speech recognition gets wrong.
Will it take card details over the phone?
We do not build the agent to collect card numbers. Payment and card capture stay with your existing secure process, whether that is a payment link, your booking engine or a person. That keeps the sensitive part of the call out of the transcript entirely.
Can it handle a complaint?
It can recognise one and get out of the way. Complaints are exactly where a person changes the outcome, so the agent is configured to detect an unhappy caller and transfer, with a summary of what has been said so far.
Can we use it only at night?
Yes, and it is a sensible way to start. Time conditions in your phone system send only overnight and out of hours calls to the agent while daytime calls reach reception as they do today.
Want to Hear This on Your Own Calls?
Tell us how your calls arrive today and how many you are missing. We will map what an AI voice agent could answer, book and route for a business like yours, and say plainly if the numbers do not justify it.
