AI Voice Agent for Medical Clinics

Clinic phone lines peak at exactly the moment your reception team is busiest. An AI voice agent takes the routine calls, the ones about appointments, opening times, preparation instructions and where to park, so your staff are free for the callers who need a person. Clinical questions are not answered by the agent. They are routed.

On the call

What the AI Agent Handles on a Medical Clinic Call

Routine appointment booking

Books, moves and cancels standard appointments against your rules on clinician, duration and notice period.

Repeat prescription requests

Captures the request and patient details and passes them into your process, without the agent making any clinical decision.

Preparation and pre visit instructions

Reads back your own instructions for fasting, samples, documents to bring and arrival times.

Routing to the right clinic

Works out which service the caller needs and sends them to the right team rather than a general queue.

Clear escalation rules

Anything clinical, urgent or distressing is transferred to a person under rules you define and can tighten at any time.

After hours and holiday cover

Answers when the clinic is closed, gives your out of hours instructions and captures callbacks for the morning.

Example calls

What a Call Actually Sounds Like

These are written call flows, not recordings of somebody else’s business. We build and demo them on your own services, prices and awkward questions.

Caller: I need to book a blood test.

AI agent: I can arrange that. Has your doctor asked for a fasting test?

Caller: Yes, fasting.

AI agent: Then it needs to be a morning slot. I have Tuesday at 8:10 or Thursday at 8:40. Nothing to eat for eight hours before, water is fine.

Caller: Tuesday.

AI agent: Booked. I will text the instructions and the address.

In the background: the appointment is created with the correct type and duration and the preparation message is sent automatically.

Caller: I have had chest pain since this morning.

AI agent: I am not able to advise on symptoms, and this is not something to wait on. I am transferring you to a member of the clinical team now.

In the background: the call is escalated immediately under your clinical escalation rules and flagged for review.

Integration

What It Connects To

An agent that only talks moves the work to whoever reads the transcript. The value is in what the call changes in the systems you already run.

Clinic scheduling system

Real availability checked and booked where your system exposes an API.

Existing telephony

Added to your current numbers and queues through FreePBX, Asterisk or SIP.

Controlled data access

The agent is given the narrowest set of fields it needs. Recording and transcripts are configurable and can be off.

Custom integrations

Where a system has no usable API we say so rather than building a fragile workaround.

The telephony side is our own work rather than something we leave to you: see FreePBX integration, SIP trunking and API integration. Where a system you use has no usable API, or an off the shelf tool would do the job cheaper than a build, we will tell you that before you spend anything.

Inbound and outbound

Calls Coming In, and Calls You Should Be Making

Inbound

The calls arriving now, including the ones that currently ring out.

Outbound

The calls that get made when somebody finds the time, which is rarely.

On outbound. Automated calling is regulated, and the rules differ by country and by call type. Consent, calling hours, do not call registers and disclosure that the caller is speaking to an automated system all apply in most places. We build campaigns to the rules that apply to you, and the lawful basis for calling remains yours.

FAQ

AI Voice Agent for Medical Clinics: Common Questions

No, and it is built so that it cannot. The agent works from your administrative information: appointments, hours, preparation instructions, documents to bring. Anything that touches symptoms, medication or clinical judgement hits an escalation rule and goes to a person. We set those rules deliberately wide at launch and narrow them only if you want to.

The agent is given the smallest set of fields it needs to do its job, over encrypted connections with credentials scoped to that integration. Call recording, transcripts and how long anything is kept are configurable and can be switched off. Your obligations under the regulations that apply to you drive those settings, and we build to the requirements you give us.

If the system has a documented API, yes. If it does not, the agent still answers, qualifies and captures the request, then creates the task for your staff instead of writing the booking directly. We check what your system actually supports before quoting rather than assuming a two way sync is available.

Build the escape hatch in from the start. The agent can offer a person at any point, and you can route whole categories of caller straight through. Many clinics start with the agent on out of hours only, where the alternative is voicemail, and expand from there.

Where the speech providers support the language properly, yes. English and Turkish are the two we work with most. We test on your own terminology before launch, because clinical vocabulary is where automatic speech recognition tends to fail.
