AI Voice Agent for Education and Training
Enrolment periods bury a small admin team in the same questions: when does it start, what does it cost, what do I need to apply. An AI voice agent answers those from your own course information, books advisory calls and campus visits, and routes current students to the right department.

What the AI Agent Handles for Education and Training Providers
Course enquiries
Answers start dates, duration, delivery mode and entry requirements from your own course data.
Fees and funding questions
Reads back published fees, payment plans and funding routes without improvising eligibility.
Advisory calls and open days
Books appointments and campus visits against real availability.
Application progress
Answers where an application has reached where your system exposes it.
Current student routing
Separates prospective from enrolled students and sends each to the right team.
Evenings and enrolment peaks
Answers when adult learners actually call, and absorbs the rush at intake.
What a Call Actually Sounds Like
These are written call flows, not recordings of somebody else’s business. We build and demo them on your own services, prices and awkward questions.
Course enquiry
Caller: When does the next accounting course start?
AI agent: There is an intake in September and another in January. Are you looking at part time or full time?
Caller: Part time, I work during the day.
AI agent: Then the evening route runs Tuesdays and Thursdays over ten months. Would you like me to book a call with an adviser?
Caller: Yes please.
AI agent: I have Thursday at 5:30 or Monday at 6. Which suits?
In the background: an enquiry record is created with the course, study mode and intake, and the adviser call is booked.
A question routed on
Caller: Would my qualification from abroad be accepted?
AI agent: Equivalence is judged case by case and I am not going to guess. I am taking your details so admissions can look at it properly and call you back.
In the background: the enquiry is logged with the qualification detail and assigned to admissions.
What It Connects To
An agent that only talks moves the work to whoever reads the transcript. The value is in what the call changes in the systems you already run.
Student records and CRM
Enquiries and applicant records created where your system exposes an API.
Adviser and open day diaries
Appointments and visits booked against real availability.
Existing phone system
Added to your current numbers and departments through SIP or FreePBX.
Follow up
Course information and confirmations sent automatically after the call.
The telephony side is our own work rather than something we leave to you: see FreePBX integration, SIP trunking and API integration. Where a system you use has no usable API, or an off the shelf tool would do the job cheaper than a build, we will tell you that before you spend anything.
Calls Coming In, and Calls You Should Be Making
Inbound
The calls arriving now, including the ones that currently ring out.
- Course, start date and entry requirement questions
- Fees, payment plans and funding routes
- Advisory call and open day bookings
- Application progress questions
- Routing current students to the right department
Outbound
The calls that get made when somebody finds the time, which is rarely.
- Chasing incomplete applications
- Confirming open day attendance
- Enrolment deadline reminders
- Re engaging past enquiries before an intake
- Returning missed and evening calls
On outbound. Automated calling is regulated, and the rules differ by country and by call type. Consent, calling hours, do not call registers and disclosure that the caller is speaking to an automated system all apply in most places. We build campaigns to the rules that apply to you, and the lawful basis for calling remains yours.
AI Voice Agents for Education and Training Providers: Common Questions
Can it answer questions about entry requirements?
It reads back what you publish: qualifications required, English language levels, age requirements. What it will not do is judge whether a particular applicant qualifies, especially with overseas qualifications or non standard backgrounds. Those go to admissions with the detail captured, because a wrong answer there can cost you a student or create a complaint.
Will it cope with the enrolment rush?
That is the strongest argument for it. Enrolment is a predictable spike where the same questions arrive hundreds of times and calls get abandoned. The agent takes every call at once, answers the routine ones and books adviser time for the rest.
Can it handle funding and finance questions?
It can explain published fees, instalment options and the funding routes you list. Eligibility for public funding is usually conditional, so the agent explains the route and hands over rather than telling someone they qualify.
Does it work for training providers as well as colleges?
Yes, and the pattern is nearly identical: course dates, prices, booking a place and chasing incomplete bookings. Commercial training providers often get more from the outbound side, filling courses that are running under capacity.
Will it talk to students already enrolled?
It identifies them and routes them, typically to student services or the relevant department, rather than trying to answer questions about someone specific record.
