AI Voice Agent for Property Management
Maintenance calls arrive at all hours and most of them follow the same shape: which property, what has broken, how bad is it. An AI voice agent captures that consistently, triages genuine emergencies to the on call contractor, and answers the rent and tenancy questions that fill your team day.

What the AI Agent Handles for Property Management
Maintenance reporting
Captures property, unit, the fault and access arrangements in the same format every time.
Emergency triage
Applies your rules on water, gas, electricity, heat and security, and escalates when they are met.
Access and appointment details
Takes availability, key arrangements and pets or parking notes a contractor needs.
Rent and tenancy questions
Answers payment dates, notice periods and renewal timing from your own information.
Landlord calls
Separates landlords from tenants at the first question and routes accordingly.
Out of hours cover
Answers overnight, escalating only what genuinely cannot wait until the morning.
What a Call Actually Sounds Like
These are written call flows, not recordings of somebody else’s business. We build and demo them on your own services, prices and awkward questions.
Non urgent repair
Caller: The extractor fan in my bathroom has stopped working.
AI agent: I can log that. Can I take the property address and flat number?
Caller: 12 Bridge House, flat 4.
AI agent: Thank you. Is there any water coming in, or is it just the fan?
Caller: Just the fan.
AI agent: Then this is a standard repair. What days are you home for a contractor?
In the background: a maintenance job is created with property, fault and access notes, queued for the standard repair contractor.
Genuine emergency
Caller: There is water pouring through the ceiling from the flat above.
AI agent: That is an emergency. If you can safely turn off the water at the stopcock, do it now. I am putting you through to the on call number while you do.
In the background: the call is escalated immediately under your emergency rules with the address already captured.
What It Connects To
An agent that only talks moves the work to whoever reads the transcript. The value is in what the call changes in the systems you already run.
Property management software
Jobs and tenant records created where your platform exposes an API.
Contractor dispatch
Jobs routed to the right contractor with access notes attached.
Existing phone system
Added to your current numbers and out of hours routing through SIP or FreePBX.
Tenant updates
Confirmation and appointment messages triggered from the job itself.
The telephony side is our own work rather than something we leave to you: see FreePBX integration, SIP trunking and API integration. Where a system you use has no usable API, or an off the shelf tool would do the job cheaper than a build, we will tell you that before you spend anything.
Calls Coming In, and Calls You Should Be Making
Inbound
The calls arriving now, including the ones that currently ring out.
- Maintenance and repair reporting
- Emergency triage and escalation
- Rent, deposit and tenancy date questions
- Access and appointment arrangements
- Routing tenant and landlord calls
Outbound
The calls that get made when somebody finds the time, which is rarely.
- Confirming contractor appointments
- Chasing access for scheduled visits
- Rent arrears reminders where permitted
- Renewal and notice reminders
- Returning missed and overnight calls
On outbound. Automated calling is regulated, and the rules differ by country and by call type. Consent, calling hours, do not call registers and disclosure that the caller is speaking to an automated system all apply in most places. We build campaigns to the rules that apply to you, and the lawful basis for calling remains yours.
AI Voice Agents for Property Management: Common Questions
How does it decide what counts as an emergency?
You define it and the agent applies it. Typically that is water ingress, gas, no heating in winter, no power, or anything affecting security of the property. The agent asks your questions, and when the answers match your rule it escalates to the on call number rather than logging a job. Everything else becomes a standard repair with full details captured.
Can it create jobs in our property software?
Where the platform exposes an API, yes: property, unit, fault description, urgency and access notes written straight in. Where it does not, the agent captures the same information and creates the task or sends the structured summary, so nothing is lost in a voicemail nobody transcribes.
Does it handle out of hours on its own?
That is the most common way to start. Overnight calls are answered, triaged and either escalated or queued for the morning. Your team arrives to a list of logged jobs rather than a full mailbox, and tenants get a real conversation at 2am instead of a beep.
What about angry tenants?
Frustration is an escalation trigger. Repeat reports about the same fault, or a caller who is clearly upset, can be routed to a person with the history attached rather than asked the same questions again.
Can it deal with landlords too?
Yes, and it separates them from tenants at the first question so each goes to the right team. Landlord calls about statements, compliance dates or approvals are captured and routed rather than handled by the agent.
